Updates have been made to board pack creation within the Administrator Portal. Once subscribed to, and enabled, the Company Administrator can selectively enable the creation of board packs for each group within the company. The Group Admin (GA) may then generate a board pack PDF, optionally password-protected, which is saved to the GA’s choice of a folder on their own device. If the user has not authenticated themselves with Authy for that session, they will be asked to re-enter a new Authy code. This has been enabled as an additional security feature.
The board pack contains a summary of the meeting, a listing of the agenda, and then a consolidated set of all the documents that are attached to agenda items. This pack can then be used to be re-uploaded to a folder of documents in the library if the company wants to create an ongoing record historical record of all meetings.
Document order on agenda items
When multiple documents are attached to a single agenda item, the GA may now drag-and-drop within the list of attachments to determine the order in which documents should be listed on user devices.
When enabled from the Edit Meeting screen, the Administrator may turn on a feature which enables the GA via the portal and the Chair via the Apps, to view which members have not opened the document(s) attached to agenda items. This is enabled from the Edit Meeting screen, for each meeting that requires it.
NOTE: when enabled, the Chair/Lead and Admin of the Group can see from either the iPad App or the WebApp, who has not opened which documents. This feature will only work for documents that have been distributed since the update.
It is recommended that if a company wishes to use this feature it should first advise its board members of its intention to turn the feature on. It is important that companies realise that once this feature is turned on, we will maintain a permanent and discoverable record of directors who have not downloaded board documents. It is suggested, therefore, that this feature should not be turned on if the Chair/Lead of a group is not going to follow up on directors who are not downloading their meeting documents.
